Session Cancellation Policy

Cancellation and Rescheduling
24-Hour Cancellation Policy: Client must provide at least 24 hours' notice to cancel an
in-person/virtual physical therapy or training session. Sessions canceled with less than
24 hours' notice, or for which Client fails to appear (no-show), will be considered
forfeited.
Bundle Package Deduction: The session will be deducted from the total sessions for
the month, and no refund or replacement session will be provided.
Notification Procedure: Cancellations must be made by contacting coach via email or
phone. Therapist/Coach will confirm receipt of the cancellation.
Rescheduling: Client is encouraged to reschedule sessions instead of canceling.
Rescheduling is subject to availability and must be done before the end of the
subscription period.
Exceptions: Exceptions to the cancellation policy may be considered in cases of
emergencies or extenuating circumstances, with documentation provided by Client. A
doctor's note is required for medical emergencies.
Trainer Cancellation: If Therapist/Coach needs to cancel a session, reasonable
advance notice will be given, and the session will be rescheduled or credited to the
following month.
Session Completion
Use It or Lose It: Unused in-person sessions do not roll over to the next month.
Scheduling Responsibility: Client is responsible for scheduling and rescheduling their
in-person sessions in advance. Therapist/Coach will make every effort to accommodate
Client's preferred times, subject to availability.
Therapist/Coach Planned Absences
Notification: Therapist/Coach will provide at least 2 weeks' notice of any planned
absences, such as vacations or continuing education events, via verbal or written means
(email, text, etc).
Session Adjustments
In-person Sessions: Every effort will be made to reschedule in-person sessions
affected by planned absences. If rescheduling is not feasible, the session will be
credited towards the following month's subscription.
Emergency Contact: For urgent matters during planned absences, Client may contact
